Qualtrics Email Limits

As a Qualtrics user, Qualtrics survey links can be emailed to respondents through Qualtrics using the Distributions page.

There are limits to the number of emails that can be sent per week, on the institution and individual level. Learn about each limit that is in place.

If you don't require the advanced features of the Qualtrics email distribution, regular mass email can be used as an alternative.

Institution Limit

As an institution, Illinois State University has a limit to the number of emails that Qualtrics can send out on a weekly basis.

For an institution, Qualtrics has a weekly email limit of 300,000. So, only 300,000 emails can be sent out from Qualtrics a week. Once the week is over, the limit is reset back to 300,000:

Example: Let's say I have a weekly limit of 300,000 emails. If I send 285,000 emails on Monday, I have 15,000 emails that I can still send during the week. On Thursday, I send the remaining 15,000 emails, meaning I can no longer send any emails until my limit resets. Once next Monday comes around, I will have 285,000 emails now available to send.

To complete this example, when the limit is checked on the following Thursday, the 15,000 that had been sent the prior Thursday will be available again.

If the limit is reached, an error message will be displayed to the person attempting to send the email.

Individual Limit

Similar to the institution-wide limit, there is also a limit on the number of emails that can be sent by each individual Qualtrics user.

There is a default email limit of 500 for each individual Qualtrics user. An override can be requested so that more than five hundred emails can be sent out.
