Using the MeetMe Conference Call

Use the MeetMe feature of your Cisco IP phone to open up a conference call for up to ten people.
Before You Begin
MeetMe Conference Bridge is a feature of your Cisco IP phone. To use this feature, you must first Request for it to be enabled on your Cisco IP phone. This request requires fiscal approval.
Request to Enable MeetMe on Your Cisco IP Phone
To request for the MeetMe Conference Bridge feature to be enabled on your Cisco IP phone, you must submit a request via the Illinois State University Help Portal at help.illinoisstate.edu/get-it-help.
Once your request has been processed, you will be able to dial into any existing conference bridge numbers assigned to your department. To request a new conference bridge number be created and assigned to your department, see the section below entitled New Audio Conference Bridge Request.
To request to enable MeetMe on your Cisco IP phone, do the following:
- Go to help.illinoisstate.edu/get-it-help and click the Submit Detailed Request link on the right. You will be asked to log in with your ULID and password.
- Once logged in, click the Phones & Networking tab.
- On the Phones & Networking page, click Request a Non-Standard Phone Service.
- On the Request a Non-Standard Phone Service form, fill out the details of your request. The form has been simplified so that making a request is quick and easy.
- In the field labeled Description/Additional Comments, type 'Enable MeetMe feature on Cisco IP Phone.' Add any additional information about your request.
- In the request, be sure to add the following information:
- Requester's ULID.
- Requester's phone number.
- Optional Additional ULID (if you would like another ISU employee to receive the confirmation email).
- Type Already Assigned ISU Conference Bridge Number(s):
- Then type the campus 438 phone number(s) of the existing conference bridge number(s) assigned to your department.
- Type Host Phone Number(s) to Program the MeetMe Softkey Onto:
- Then type the campus 438 phone number of the phone(s) that will be able to host and/or start, a conference.
- What account number should be associated with this request: Enter the account #. If you do not know this information, you may need to contact your fiscal agent.
- Be sure to add your fiscal agent.
To save and submit the Request, click Save. When you receive confirmation that your Service Request has been added to the Cherwell system, click OK.
Your request has been submitted. You will be notified by email once your request has been processed.
New Audio Conference Bridge Request
To request a new audio conference bridge phone number to be assigned to your department, do the following:
- Go to help.illinoisstate.edu/get-it-help and select Submit Detailed Request on the right. You will be asked to log in with your ULID and password.
- Once logged in, click the Phones & Networking tab.
- On the Phones & Networking page, click Request a Non-Standard Phone Service.
- On the Request a Non-Standard Phone Service form, fill out the details of your request. The form has been simplified so that making a request is quick and easy.
- In the content field, type ISU Telephone Number to have participants call into (309)438-xxxx number (Max: 10 attendees including HOST).
- Also add the following information:
- Requester's ULID.
- Requester's Phone #.
- Optional Additional ULID (if you would like another ISU employee to receive the confirmation email).
- Conference Name:
- For a permanent bridge allocated to a department, specify department number - name INDEFINITELY.
- Start Date and Time of Conference:
- Specify when you would like this conference bridge number to be available.
- End Date and Time of Conference: Specify when you would like this conference bridge number to end. For continuous service with no end date, specify Not applicable. If you need the MeetMe soft key to be programmed into a host phone, or phones, specify what 438 number(s) you would like the key programmed into.
- Enter what account number should be associated with this request. Enter the account #. If you do not know this information, you may need to contact your fiscal agent.
- Name the fiscal agent
- To save and submit the Request, click Save.
- When you receive confirmation that your Service Request has been added to the Cherwell system, click OK.
Request to Remove MeetMe from Your Cisco IP Phone
If you would like to have the MeetMe feature removed from your Cisco IP phone, you may submit a request to do so.
To request to remove MeetMe from your Cisco IP phone, do the following:
- Go to help.illinoisstate.edu/get-it-help and select Submit Detailed Request on the right. You will be asked to log in with your ULID and password.
- Once logged in, click the Phones & Networking tab.
- On the Phones & Networking page, click Request a Non-Standard Phone Service.
- On the Request a Non-Standard Phone Service form, fill out the details of your request. The form has been simplified so that making a request is easy and quick.
- In the content field, type 'Remove MeetMe feature from Cisco IP Phone.'
- Also add the following information:
- Requester's ULID.
- Requester's phone number.
- Optional Additional ULID (if you would like another ISU employee to receive the confirmation email).
- Type Host Phone Number(s) to Remove the MeetMe Softkey From. Then type the campus 438 phone number of the phone(s) that you would like to remove the MeetMe feature from.
- Add what account number should be associated with this request and enter the account #. If you do not know this information, you may need to contact your fiscal agent.
- Enter the name of your fiscal agent.
- To save and submit the Request, click Save.
- When you receive confirmation that your Service Request has been added to the Cherwell system, click OK.
Your request has been submitted. You will be notified by email once your request has been processed.
Open a MeetMe Conference Call
To open a conference call using the MeetMe feature on your Cisco IP phone, do the following:
- On your Cisco IP Phone, press the More soft key until the MeetMe soft key is available.
- Press the MeetMe soft key and then dial your assigned 5-digit conference number or a conference bridge number for your department.
- Other parties may now dial the conference number to join the conference (up to 10 callers, including yourself/HOST).
- Campus parties will dial the 5 digit conference number.
- Off-campus parties must dial the 7-digit or 11-digit conference number.
More Information
Please be aware of the following details.
- If a conference call has not yet been started, a caller will receive a fast-busy signal when dialing the conference number.
- Participants connected to the conference call will hear a tone whenever a caller joins or leaves the conference.
- The conference call will continue until the last caller disconnects. It is recommended that the host wait until all participants have disconnected from the call before terminating the conference call.
