Create Appointments in Achieve Using Outlook

Last modified 2/16/2024

Achieve allows you to manually create appointments using Outlook. Creating appointments in Outlook can be helpful if you are setting up a one-time appointment.

Before You Begin

Achieve is a web-based application that allows you to sync appointments with your Outlook calendar.

You must have access to Achieve before you can schedule appointments in Outlook. For more information, see Achieve.

These instructions refer to the following versions of Outlook:

  • Outlook 2016 (Previous versions of Outlook are no longer supported)

Department Tags in Achieve

Achieve creates tags that are specific to each department and program. Your department tag will always include a pound sign (#) before and after your designated department or program name. To create an appointment in Outlook, you will need to know your Achieve department tags. When you are first given access to Achieve, you will receive an email that lists all of your department tags.

If you are unsure of your department’s tag and no longer have the original email, open a ticket with the Technology Support Center and request that the department tags be re-sent to you.

Creating Appointments in Outlook

To create an appointment in Outlook, do the following:

  1. Open Outlook.
  2. Click Calendar.
  3. Click New Appointment.
  4. Enter your department tag in the Subject line. Your department tag will always start and end with the pound sign (#). For example, #ATEVENTS# is the department tag of the Office of Technology Solutions.
    • If you are scheduling a group appointment, where more than one individual can sign up for the same appointment time, enter a “dash” (-) after the department name, followed by the number of individuals that can sign up for the appointment. Using the above tag as an example, an appointment that allows five individuals would be #ATEVENTS-5#.
  5. Press the “space bar” after the department tag and enter the title of your appointment. For example, #ATEVENTS# Technology 101 Extended Office Hours.
  6. Enter the appointment location in the Location line.
  7. Select the Start time and End time.
    • If you want to make this a recurring appointment, click Make Recurring, select the recurring pattern that you want, and then click OK.
  8. Enter a note to go with your appointment in the text box, if needed.
  9. Click Save & Close.

The appointment will be live on your Achieve online profile and will also appear on your Outlook calendar.

When an individual signs up for an appointment, their information will appear in the text box of the appointment in your Outlook calendar.
