Open a Shared Calendar in Microsoft 365

When a calendar is shared with you, and you both are in Illinois State University’s email system, you will receive an email with the subject “I’d like to share my calendar with you.”.

Illinois State University’s Microsoft 365 Calendar can be accessed through the web, via Microsoft Outlook (Desktop), and via mobile devices.

Accepting a Shared Calendar Invitation


If you received a sharing invitation email, follow the steps below to accept it and add the calendar to your view.

  1. Open the email with the subject "I'd like to share my calendar with you."
  2. The message will state: "(ULID), (Name) (ULID@ilstu.edu) has invited you to view their calendar." 
  3. Click the Accept button at the top of the email.
  4. Microsoft 365 Outlook will open and the shared calendar will now appear alongside your own calendar.

Manually adding a Shared Calendar


If you did not receive a sharing invitation, or if you need to locate a calendar that was shared with you directly, use the steps below your version of Outlook.

Tip: Not sure which version of Outlook you have? In the desktop app, look for the toggle switch in the upper-right corner of the window. If you see a "Try the new Outlook" or "New Outlook" toggle, you are on Old Outlook. If the interface looks simplified and modern with no toggle, you are already on New Outlook.

Old Outlook (Classic Outlook for Windows)

  1. Navigate to the Calendar tab in Outlook.
  2. In the lower-left panel, right-click on My Calendars.
  3. Click Add Calendar.
  4. Click From Address Book.
  5. Search for the name of the calendar or person who shared it with you.
  6. Select the calendar from the results and click OK.

New Outlook for Windows / Web (Outlook.com or Microsoft 365 Web)


The web version of Outlook follows the same steps as New Outlook.

  1. Navigate to the Calendar tab in Outlook.
  2. In the left panel below the monthly calendar, click Add calendar.
  3. In the dialog that appears, click Add from directory.
  4. Select your ISU email address from the View directory for dropdown.
  5. Search for the name of the calendar or the person who shared it with you.
  6. Choose whether to add the calendar to My calendars or Other calendars.
  7. Click Add.
