Managing Calls in Microsoft Teams Voice

This article provides guidance on how to make calls using Microsoft Teams Voice for both university numbers and external phone numbers.

Illinois State University will begin cutting some departments over to Microsoft Teams Voice for phone services beginning in July 2026. If your area has not yet been cut over to this service, you will not be able to call outside the University using Microsoft Teams. If you are unsure if you have been cut over to Microsoft Teams Voice, please reach out to the Technology Support Center.

How to make a call in Microsoft Teams

  1. Select Calls in Microsoft Teams.
  2. Enter the desired phone number using the dial pad.
    • For University numbers in the format (438-XXXX), enter only the extension (8-XXXX).
    • For numbers outside the university, enter the 10-digit phone number (for example, XXX-XXX-XXXX).
  3. Select Call to place the call.

How to Add Someone to an Active Call

If you need to add another person in an existing call:

  1. While on the call, select People or Participants from the call controls.
  2. In the search box, enter he person's name or phone number.
  3. Select the person form the search results.
  4. Select Request to Join (or Add) to invite them to the call.

The call will continue as a group call after the additional participant joins.

How to Block a Caller

If you receive unwanted calls from an external phone number, you can block that caller.

  1.  Open Calls in Microsoft Teams.
  2. Locate the caller in your Call History.
  3. Select More options (the three dots) next to the phone number.
  4. Select Block.

To review or unblock blocked numbers:

  • Select Settings and more (the three dots next to your profile picture).
  • Select Settings > Privacy.
  • Under Blocked contacts, select Edit blocked contacts to view or remove blocked phone numbers.

Blocking callers only affects your account. If additional spam or unwanted calls are being received across your department, contact the Technology Support Center for assistance.
