Using Keeper to Manage Passwords in the Division of Student Affairs (VPSA)

What is Keeper?
Keeper (formally known as Keeper Security) is a password management tool available to some full-time staff and student workers in the Division of Student Affairs. If you are granted access to Keeper, you can use it to store passwords you use to access resources (websites, applications, etc.) for your job duties. Your department can use Keeper to store passwords that are shared amongst two or more individuals and which are needed to fulfill job duties.
Never Put Personal Passwords in Keeper
You should never use Keeper to store passwords related to your personal life. For example, never use Keeper to store your bank password, personal email password, Amazon password, or any other password used in your personal (non-work) life. It is important that you follow this rule because in the future, when your access to Keeper is removed (because you have retired, moved on to a different job, are on an extended leave, etc.), all of the passwords associated with your account in Keeper will be transferred to your direct supervisor.
Examples of Appropriate Use of Keeper
You might use Keeper to store passwords for:
- A third-party application or website that doesn't use Single Sign On (SSO)
- Department key vault
- Voicemail PIN
- Printing Code
- License Key
Request Access
You must be granted access to Keeper before you can login. Employees in the Division of Student Affairs should contact Student Affairs IT to request access to Keeper. Your supervisor will need to approve your request before it can be fulfilled by Student Affairs IT.
Register Device
When your account is created in Keeper, you will receive an invitation email message, which includes a link. Clicking on the link in the email you received will walk you through registering your device (laptop, desktop, mobile phone, etc.) with Keeper. Each device from which you access Keeper must be registered in this way. There is no limit on the number of devices you can register. Logging in to Keeper
To login to Keeper, do the following:
- Go to https://keepersecurity.com/vault/. This is the Keeper Vault login page.
- Enter your ulid@ilstu.edu email address and click Next.
- You will be redirected to Central Login, and you will be prompted to enter your ulid@ilstu.edu address again. Do so now, and then click Next.
- You are prompted to enter your password. This is your ULID password. Do so now, and click Sign In.
- You are prompted to complete the Multi-Factor Identification (MFA) step. Do this now. (The specific MFA prompts will differ based on your chosen MFA configuration.)
You are now logged in to Keeper.
My Vault
The page called, My Vault, contains a list of all the accounts/passwords that you have access to in Keeper.
Views in My Vault
You can change the type of view in My Vault by clicking the icons in the upper-right corner of the page. You can change the view into a Folder View, Grid View, or List View.
Finding a Password
Depending on how many accounts and passwords you have stored in Keeper, it could be very easy or very challenging to find what you are looking for.
- Browse the List - If your list is small, you can browse through the accounts and passwords to find what you want.
- Search the List - Use the Search box at the top of the page to search for accounts and passwords you need.
- Filters - Use the Filters icon to filter the list of accounts and passwords. This can help narrow down a big list so you can more easily find what you are looking for.
Viewing and Copying a Password
To view and/or copy a password in Keeper, do the following:
- Use one of the methods above (browse, search, filter) to find the account you're looking for.
- Click on the account record in Keeper.
- A panel will open on the right side of the page, which contains details about the account, along with the password. The password is displayed as a series of dots until you reveal it.
- Click the eye icon to reveal the password so you can view it.
- Moving your mouse over the Password field will display a Copy icon. Click the Copy icon to copy the password to your computer's clipboard. You can then paste the password into the application, website, etc. that you want to login to.
Creating a New Password
To add a new account and password into Keeper so you can reference it later, do the following:
- Click the Create New icon in the upper left of the Keeper screen.
- From the pop-up that appears, click on Record.
- On the New Record dialog, leave Record Type as Login. Enter a name for the resource in the Title field.
- The title you enter should reflect the name of the application, website, service, etc. for which the account will be used.
- For example, if the account is used to login to a vendor's support website, you should enter the name of the vendor and website.
- Example: An account called reggie@ilstu.edu and which is used to login to the Oracle support website could be titled, Oracle Support Site: reggie@ilstu.edu.
- The point is that you should create a title that will help you find what you are looking for in the future.
- Click Next.
- A panel will open on the right side of the page. You will enter details about the account, including the password, in this panel.
- Enter the username or email address used to login to the account into the Login field.
- Enter the password for the account into the Password field. As you type the password, Keeper will show you how strong or weak the password is.
- Enter the web address of the application, website, or service into the Website Address (if applicable). If this password is for another type of application or service, you can leave this field blank.
- When you are done, click Save.
The new account and password have now been saved in Keeper. You may refer back to this account and password in the future by finding it in Keeper, as described above.
