Kuali Build: App Admins

Audience: Application Administrators (App Admins) in Kuali Build who need to check multiple forms and make the information they need easier to find.   

How to use Kuali Build as an App Admin 


As an App Admin you may use Kuali Build normally, but you may also need to filter forms, reset views, create saved searches, and check form status, comments, and workflow progress. 

Filtering Forms 


Filtering the forms by adding and sorting columns will help you put the information that you need to see where you would like to see it when looking through several forms. 
 

Adding Columns  

  1. Open the app shared with you from your dashboard.
  2. Select the Columns button at the top of the page.
  3. Select the eye icon next to the field to turn on or off that column from your view.

Sorting Columns


There are two types of sorting for the columns to organize the information you need to see:

  1. Sort the Order of the Columns 

Organize the columns so that the most important information appears in the first column, descending into each following column. To do this follow the steps below: 

        1. Select the Columns button at the top of the page .
        2. Hover over the name of the column.
        3. Drag the columns you have the view turned on for in the order you want them to appear.
  1. Sort the Individual Columns 

The information in each column can be organized from top to bottom. To do this follow the steps below: 

        1. Select the Sort button at the top of the page. 
        2. Using the drop-down menu after the words Sort by, select the column you need to sort.
        3. Select the circle next to A to Z or Z to A to sort the information in the column from first to last or last to first.  
        4. You can add more columns by selecting the button Add another sort column. 

 

Creating Saved Searches  

Saved searches can help you quickly go back to what you filtered earlier, so you don’t need to keep filtering each time. To save a search follow the instructions below: 

  1. Start by adding and sorting the columns into the order you want. 
  2. Select the button Save Filter at the top of the page. 
  3. Name the search. 
  4. Select Save.

Select the Saved Searches button at the top of the page, to open any saved searched you have created. 

Resetting your View 


To reset the default view, select the
Reset button at the top of the page.  

Checking Form Status, Viewing Comments, and Workflow Chain of Approval  


If you need to check the status of a form, view a forms comments, or see where the form is at in the workflow chain of approval, please follow the instructions below:

  1. Open the app shared with you from your dashboard. 
  2. Select the eye icon under actions of the form you need to view.  
  3. Select the toggle in the left-hand column to switch it to status.  
  • Review: This view allows you to review, edit, approve, deny, or send back the form.  
  • Status: This view shows you what steps the form has already gone through, what steps need completed, everyone’s comments, and who has approved, denied, and/or sent back the form so far.
